How to choose church management software: 10 questions to ask first
Sooner or later almost every church reaches the same point: spreadsheets aren't enough anymore, information is scattered across ten group chats, and nobody knows for sure how many people are actually part of the church. That's when the question comes up: do we need church management software?
There are plenty of options, with very different prices and approaches. These ten questions will help you choose wisely, whichever tool you end up using.
1. Which problem do we want to solve first?
Before looking at any software, write down the two or three things that hurt most right now. For example:
- "Guests come and we don't know if anyone followed up."
- "We don't know who's in a small group and who isn't."
- "Scheduling Sunday volunteers is chaos."
- "Our finances depend on a spreadsheet only one person understands."
Good software solves those specific problems first. If a system does a hundred things but none of the ones you need, it isn't for your church.
2. Will our team actually use it?
This is probably the most important question. Software that only the church administrator uses doesn't change much. The value appears when small group leaders, the welcome team and volunteers use it too.
Ask yourself:
- Does it work well on a phone, without installing anything complicated?
- Can someone who "isn't a tech person" get the hang of it in a Sunday?
- Does each person see only what they need, or are they faced with a menu of forty options?
If you can, have two or three leaders try it before you decide.
3. Does it speak our language?
Some systems were designed for a particular church tradition or a different country. Check that it uses words that fit your church, that you can rename roles to match what you call them, and, if your church is bilingual or has members who prefer another language, that it's available in the languages your people speak.
4. What does it really cost?
Pricing models vary a lot:
- Per person in your database: the price goes up as your church grows.
- Per module: the base price is low, but each feature costs extra.
- One price per church: a fixed amount, however much you grow.
Work out the cost for your church's size today and in three years' time. And ask what happens if, at some point, you can't pay.
5. Can we try it before paying?
A free trial, without having to enter a card, lets you evaluate it with real data. Some systems also have a permanent free plan for small churches, which may be enough to get started.
6. What happens to our congregation's data?
A church holds very personal information: contact details, families, children, prayer requests, giving. Ask:
- Is our church's data kept separate from other churches'?
- Can we decide who sees what? For example, a small group leader sees their group but not everyone's giving.
- Do they sell or share data with third parties?
- Can we export all our information and take it with us if we ever leave?
- Where is the data stored, and which privacy laws do they comply with?
If a provider can't answer these questions clearly, that's a warning sign.
7. Can we bring what we already have?
Nobody wants to retype 300 people by hand. Ask whether you can import your spreadsheets and whether the provider will help you do it.
8. What is support like?
When something goes wrong on a Sunday morning, it matters a lot to be able to reach a real person. Ask how support works, how quickly they reply and whether there are guides or a help center.
9. Does it fit our size and model of church?
A church of 40 and a multi-site network have different needs. Make sure the system works well for your size today and can grow with you: more groups, more ministries, another location.
10. Can we start small?
The best way to bring software into a church is to start with one problem: for example, visitor follow-up or small groups. Once the team is used to it, add the next thing. A system that forces you to set everything up before you begin often ends up half-adopted.
